UNIFORM BUYING GUIDES

How to Choose Hotel Staff Uniforms: A Buying Guide

A hotel uniform order involves several teams, different working conditions and more than one approval. A front-office blazer and a housekeeping tunic should belong to the same visual identity, but they do not need the same construction. This guide helps purchase managers, housekeeping heads and hotel owners prepare a clear specification before requesting quotations.

1. Plan the requirement department by department

List each department, the number of staff, the garments required per person and the number of sets you intend to issue. Include new joiners, temporary staff and any spare stock separately so the production quantity is easy to check.

For example, a housekeeping team of 12 people receiving two sets each needs 24 sets before any additional spare stock. Keep that calculation separate from the kitchen and front-office requirements. A single total headcount is not enough to quote a complete hotel order.

  • Front office: shirts, trousers, blazers, waist coats and ties as required.
  • Housekeeping: role-appropriate upper and lower garments, with aprons where required.
  • Kitchen: chef coats, trousers, aprons and caps selected for the role.
  • Restaurant service: coordinated shirts or polos, trousers and accessories.

2. Compare fabric samples against actual working conditions

Ask for the fabric composition, weight where relevant, available colours and care instructions for each proposed option. Compare swatches in the lighting where the uniforms will be worn. Do not choose solely from a colour on a phone screen.

Let staff assess a sample during typical movement: reaching, bending, walking and working at a counter. If the property uses an external laundry, agree a sample wash trial using its intended process. Check the result for fit, appearance and colour before approving bulk production; do not assume every fabric will suit every wash process.

3. Approve fit and branding before production

Use the supplier’s size chart rather than relying only on the label of an existing garment. Record upper and lower sizes separately and identify any alterations or special sizes in the order sheet. A fitting sample gives approvers something concrete to sign off.

Confirm the logo artwork, embroidery or print method, position, dimensions and thread or print colours. Keep one approved reference with the article code and fabric details. Written approval helps the hotel and supplier work from the same specification.

4. Compare complete quotations, including repeat orders

Compare the same specification across quotations: garment, fabric, quantity, sizes, branding, taxes, delivery and sample charges. A lower garment price may exclude work included elsewhere. Ask when the delivery period starts and which approvals or payments are required.

Ask about future availability, minimum reorder quantities and likely replenishment lead times. Retain the approved specification so a later buyer can request a matching replacement without starting the selection process again. Exact repeat availability should be confirmed at the time of reordering.

5. Prepare your hotel uniform enquiry

WOOL O WOOL manufactures institutional uniforms in Chandigarh and has operated since 1978. Use the hotel collection to shortlist relevant articles, then share your department-wise requirement for a quotation. Confirm the current minimum quantities, sample terms and delivery schedule with the team.

  • Property name, city and delivery address.
  • Department-wise articles, quantities and size breakdown.
  • Preferred fabric, colour and logo requirements.
  • Required delivery date and the person approving samples.

Common questions

Can different sizes be combined in a hotel uniform order?

The catalogue allows size-wise quantities within the applicable article minimum. Check the selected article and confirm any special-size charges before approval.

Should a hotel order one uniform design for every department?

Plan a coordinated appearance, then choose garments for each role. Departments can share colours or branding while using different articles.

What should we send to request a quotation?

Send the property details, departments, selected article codes if known, quantities, sizes, branding requirements and required delivery date.
